Executive Assistant - Culver City

 

 

The Executive Assistant works alongside the CEO and is responsible for facilitating the efficient and accurate delivery of high-quality work.

This person will work across all types of projects including Dropbox, Quickbooks Online, Word, PowerPoint, Adobe Suite and Slack.

The right candidate is detail oriented, organized, self-starting, thrives under pressure, and is a motivating and positive presence on the team.

 

Role and Responsibilities:

  • Oversees the management of the CEO's calendar, answering calls, responding to emails, running errands, help collect payments from clients. 

  • Prepares the employee and in-house training manuals with updates laws and regulations

  • Provides leadership building relationships to the success of the organization

  • Manages highly confidential and personal documents with high discretion

  • Drafting letters, correspondence and other administrative tasks

  • Prioritize conflicting needs, handle matters expeditiously, proactively and follow-through on projects to successful completion, often with deadline pressures.

  • Provides support with Human Resources matters, experience in recruiting (posting adds, and screening candidates)

 

  • Work with vendors and agencies, to get answers and negotiate for exceptions where needed

  • Proactively identify potential challenges, problem solve and communicate issues to relevant team

  • Coordinate delivery of final media files

  • Foster a productive atmosphere among team members that is conducive to creating superior creative and technical executions

 

Requirements:

 

  • 2 plus years experience working in a professional firm.

  • High proficiency in Microsoft Office Suite and/or Google Suite of products. (Word, Excel, PowerPoint, Google Docs, Sheets, and Slides)

  • Creative and strategic thinker

  • Impeccable written and verbal communication skills

  • Previous experience in accounting, finance, or other related fields a plus

 

  • Ability to prioritize and multitask

  • Strong organization skills

  • Deadline and detail oriented

  • Ability to self-start and work well independently as well as collaborate favorably in a team environment

  • Strong relationship building skills
